Connecting Portal 360 to Xero

Summary

This article describes how to establish a connection between Portal 360 and a Xero organisation. The connection is made using Xero’s OAuth 2.0 authorisation flow and must be completed once per organisation that you intend to sync.

Before you begin

Confirm the following before initiating the connection:

  • You hold an active Xero subscription and have signed in to the Xero organisation at least once.
  • You have been granted the Adviser or Standard user role within that Xero organisation. Read-only and Invoice-only roles are not sufficient to authorise an integration.
  • You are signed in to Portal 360 with a user account that has permission to manage integrations. If the option to connect is not visible, contact your practice administrator.

Establishing the connection

  1. Within Portal 360, navigate to Settings → Integrations.
  2. Locate the Xero card and select Connect to Xero.
  3. You will be redirected to the Xero sign-in page. Enter your Xero credentials and complete any multi-factor authentication required by your Xero account.
  4. Xero will present a consent screen listing the permissions Portal 360 is requesting. Review the requested permissions carefully. These determine what Portal 360 is able to read from, and write to, your Xero organisation.
  5. If you administer more than one Xero organisation, you will be prompted to select which organisation to connect. Select the appropriate organisation from the list and select Allow access.
  6. You will be returned to Portal 360. The Xero card will now display the connected organisation’s name and the date the connection was established.

The connection is now active. Initial data synchronisation will begin shortly and may take several minutes depending on the size of the Xero organisation.

Connecting additional Xero organisations

Portal 360 supports connections to multiple Xero organisations from a single Portal 360 account. This is particularly relevant for practices that manage client files in separate Xero subscriptions.

To add a further connection:

  1. Return to Settings → Integrations.
  2. Select Add another Xero organisation.
  3. Complete the OAuth flow as described above, ensuring you select the new organisation on Xero’s consent screen.

Each connected organisation is listed separately within the Xero card. Data from each organisation is kept distinct within Portal 360 and is associated with the corresponding client record.

Confirming the connection is healthy

A successfully established connection displays a green status indicator and the organisation’s name. If the indicator appears amber or red, refer to the Troubleshooting Xero connection issues article.
