Disconnecting and Reconnecting Your Xero Integration

Summary

This article describes how to disconnect Portal 360 from a Xero organisation, how to restore a connection that has lapsed, and when each action is appropriate. Disconnecting immediately revokes Portal 360’s access to the organisation; reconnecting restores the link without affecting historical data already synced into Portal 360.

When to disconnect

Disconnect a Xero organisation in the following circumstances:

  • You have ceased acting for the client associated with that Xero organisation.
  • You suspect the integration has been compromised or wish to audit access.
  • You are migrating the practice to a different Xero subscription and need to remove the legacy link.

Disconnection is immediate and final at the point it is performed. Portal 360 will no longer be able to read from, or write to, that Xero organisation until the connection is re-established.

Disconnecting an organisation

  1. Navigate to Settings → Integrations.
  2. Locate the relevant Xero organisation within the Xero card.
  3. Select Manage, then select Disconnect.
  4. A confirmation dialog will display the name of the organisation to be disconnected. Confirm by selecting Disconnect organisation.

The connection is terminated immediately. Records previously synced into Portal 360 are retained and remain accessible; however, no further changes will be exchanged between the two systems.

You may also revoke access from within Xero itself, by signing in to Xero and navigating to Settings → Connected apps. Revocations performed from Xero are reflected in Portal 360 within a short interval.

When reconnection is required

Reconnection is required in three scenarios:

  1. Voluntary disconnection. You or another user disconnected the integration and now wish to restore it.
  2. Lapsed authorisation. Xero requires periodic reauthorisation of inactive integrations. If an integration is not used for an extended period, the authorisation tokens expire and the connection becomes inactive. The Xero card in Portal 360 will display a Reconnection required notice.
  3. Updated permissions. If Portal 360 has been updated to require permissions that were not granted during the original authorisation, you will be prompted to reauthorise. This does not alter any data in Xero; it adjusts only what Portal 360 is permitted to access.

Reconnecting

  1. Navigate to Settings → Integrations.
  2. Locate the affected organisation. The status indicator will display amber, accompanied by Reconnect or Update permissions as appropriate.
  3. Select the action shown. You will be redirected to Xero to sign in.
  4. Review the consent screen and approve the requested permissions. Where reconnecting an existing organisation, ensure the same Xero organisation is selected on the consent screen.
  5. Upon successful reauthorisation, you will be returned to Portal 360 and the status indicator will return to green.

Reconnecting an existing organisation does not duplicate or reset any records. Portal 360 resumes syncing from the point at which the connection lapsed.
