Managing client files and documents securely

Client files in Portal 360 are encrypted at rest and in transit. Australian hosting on Microsoft Azure keeps data on-shore, with immutable backups across three regions. The File Centre gives you centralised document storage with search, tagging, and folders linked to clients and jobs.

Uploading and organising files

Use File Centre or entity-linked folders to upload documents. Tag files to clients, entities, or jobs so your team can find them quickly without leaving the client record. Folder management keeps complex engagements orderly — especially for fractional CFOs managing multi-entity portfolios.

Sharing safely

• Use secure share links with expiry where available
• Restrict downloads for sensitive packs when your policy requires it
• Route client-facing shares through the secure client portal when possible
• Review activity logs to see who accessed or downloaded shared files

Encryption and access

All files are stored in an ENC encrypted format so even Portal 360 staff cannot open them without your firm’s authorisation path. Combine file controls with role-based team permissions so only assigned users see sensitive packs. Enable two-factor authentication for every team member who handles client documents.
